Define the handoff trigger

The TC should receive: executed contract, all addenda, lead sheet with buyer/seller contact info, agent preferences for communication, and any known complications. Build a form or template that captures all of this at handoff.
Build your transaction template
In your transaction management platform, create a standard transaction template with all required tasks, deadlines, and document requirements for your market. This template becomes the baseline for every deal.
Configure automated deadline tracking
Set up automated reminders for contingency deadlines, inspection periods, and closing milestones. The TC should receive a reminder 3 days before every critical deadline, with an escalation to the agent if not acknowledged.
Establish the agent communication protocol
